About these terms
In plain English: Monthly invoicing lets you use approved RFID charging access now and pay later. By accepting or using that access, you agree to be invoiced for and pay all charges incurred through it.
These ChargeStack Monthly Invoice and Payment Terms apply when a person or organisation (the Customer, you or your) is permitted to charge an electric vehicle now and pay later by monthly invoice. They cover charging sessions started with an RFID access card or another approved method, every charge incurred through that access, and payment by Stripe automatic payment, Stripe payment link or manual payment instructions when those options are provided.
These terms supplement the ChargeStack Conditions of Use and Privacy Policy. If they conflict on a matter relating specifically to monthly invoicing or payment, these terms apply to that matter.
1. Acceptance and authority
In plain English: You accept these terms when you request monthly invoicing, accept or use linked RFID charging access, set up automatic payment, or pay an invoice using an offered method.
You accept these terms when you:
- select or request monthly invoice billing;
- accept, activate or use an RFID access card or other charging access linked to a monthly invoice account;
- provide or authorise a payment method for automatic payment;
- pay an invoice through a Stripe payment link or supplied manual payment instructions; or
- use charging access after being notified that it is supplied on monthly invoice terms.
You must be at least 18 years old and legally capable of entering into a binding agreement. If you accept for an organisation, group, employer or other entity, you confirm that you have authority to bind it. You are responsible for ensuring that authorised drivers and account users comply with these terms.
2. Charging now and paying monthly
In plain English: You can use an approved RFID card or other authorised method without paying at each session. Every charge incurred through that access is added to the relevant monthly invoice.
ChargeStack provides software and payment facilitation for monthly invoicing. The applicable charge point owner or operator (the Operator) supplies the underlying EV charging service and is responsible for its chargers, sites, electricity supply, access rules, prices, refunds, taxes and driver support.
When an RFID access card or another approved charging method is linked to your monthly invoice account, you may use it to start eligible charging sessions before paying for them. You agree that every charge incurred through that access during the billing period will be charged to your monthly invoice account. This includes charges incurred by you and by any driver, employee, contractor, group member or other person whom you authorise or permit to use that access.
Eligible sessions attributed to you, your nominated users, your RFID access cards or your nominated group during a calendar month will ordinarily be included in an invoice issued after month-end. Each invoice will identify the billing period, relevant sessions, applicable prices and taxes, total amount due, payment options and pay-by date.
You must promptly tell the Operator or ChargeStack if an RFID access card is lost, stolen or no longer authorised, or if billing or group information is incorrect. Unless applicable law requires otherwise, you remain responsible for charges incurred through access that you issued, shared or permitted to be used until notice is received and there has been a reasonable opportunity to disable it.
3. Payment terms and methods
In plain English: Each invoice is payable within 14 days of issue. Depending on the options shown, you may pay by Stripe automatic payment, a Stripe payment link or supplied manual instructions.
Unless an invoice states otherwise, each monthly invoice is issued after month-end for eligible sessions in the preceding billing month, has a pay-by date 14 calendar days after issue, and must be paid in full in the invoiced currency by that date.
An invoice may provide one or more of these payment methods:
- Stripe automatic payment. If enabled, the saved payment method will be charged as described in section 4.
- Stripe payment link. You may pay through the secure link in the invoice, email, PDF or ChargeStack portal. If a link expires or becomes unavailable, request a replacement or use another offered method.
- Manual payment. Where instructions are provided, use the correct account details and payment reference. Payment is complete when cleared funds are received and matched to the invoice.
Not every method will be available for every Customer or invoice. The absence or failure of one option does not cancel the invoice, extend its pay-by date or remove your obligation to pay all incurred charges. If an offered method is unavailable, use another offered method or promptly contact support.
If you believe an invoice is incorrect, contact [email protected] as soon as reasonably possible with the invoice number and disputed item. Raising a dispute does not automatically suspend the due date or collection of an undisputed amount. Refunds and adjustments are handled by ChargeStack or the Operator as appropriate, subject to applicable law and any rights under the Australian Consumer Law.
4. Stripe automatic payment
In plain English: If you enable automatic payment, you authorise the saved payment method to be charged for the exact total on each future monthly invoice after its pay-by date, unless it is paid earlier.
When you set up automatic payment, you authorise the exact total shown on each eligible future monthly charging invoice to be charged to your saved payment method after that invoice's stated pay-by date. Under the current schedule, the first attempt is due from 12:00 am on the calendar day immediately after the pay-by date, using the billing timezone configured by the Operator.
If an invoice is paid in full through a Stripe payment link or manual payment before automatic payment is processed, the scheduled automatic payment will be cancelled. Do not intentionally make duplicate payments. Contact support if a duplicate occurs.
Stripe processes and stores payment method details. ChargeStack does not store full card or bank account details. Automatic payment does not guarantee successful collection. If it fails or requires action, you remain responsible for paying by another available method.
You may update or disable automatic payment using the supplied management link or by contacting support. Disabling automatic payment does not cancel monthly invoice billing, waive charges already incurred, or remove the obligation to pay an issued invoice.
5. Overdue notices
In plain English: If an invoice remains unpaid, ChargeStack will ordinarily email notices when it is 14, 30 and 45 days past its pay-by date.

The timing is measured from the pay-by date, not the issue date. Notices may be delayed by weekends, public holidays, email delivery failures, technical interruptions or circumstances outside ChargeStack's reasonable control. Failure to receive a notice does not change the pay-by date, cancel the amount due or prevent a charging-access hold.
You must keep the invoice email address current and monitor it, including spam or junk folders.
6. Charging-access freeze for non-payment
In plain English: If an invoice is still unpaid 45 days after its pay-by date, RFID charging access linked to the invoiced user or group will be frozen until the overdue account is resolved.
If an emailed invoice remains unpaid when it reaches 45 calendar days overdue, ChargeStack may place a billing hold on active RFID access cards associated with the individual charging user named as payer or every relevant user in the client group named as payer.
While the hold is active, those cards will not be authorised for charging through ChargeStack. The restriction concerns charging access linked to the overdue payer account and does not necessarily disable every portal or administrative function.
The hold may be applied without further notice beyond the schedule in section 5. ChargeStack will ordinarily remove it after no qualifying overdue invoice remains outstanding, including after payment, voiding or other resolution and reconciliation. Restoration may not be immediate; contact support if access has not returned within a reasonable period.
7. Your account responsibilities
In plain English: Keep your payer, contact, group and payment details accurate, protect RFID cards and account access, and check each invoice.
- Provide complete and accurate account, recipient and payment information.
- Keep credentials, invoice management links and RFID cards secure.
- Promptly report suspected unauthorised use or compromised access.
- Review invoices and report apparent errors without unreasonable delay.
- Do not evade payment by moving users, misrepresenting group membership, replacing cards or circumventing a billing hold.
ChargeStack may use session records, account attribution, pricing snapshots, payment-provider records and audit logs to calculate and verify invoice amounts.
8. Privacy and payment data
In plain English: ChargeStack uses account, charging, invoice and payment-status information to operate monthly billing. Stripe handles sensitive payment method details.
ChargeStack processes personal information as described in the Privacy Policy. This may include names, email addresses, group or employer associations, charging-session data, invoice details, payment status, billing communications, IP addresses, security logs and identifiers received from Stripe.
This information is used to provide monthly invoicing, schedule and reconcile payments, send transactional and overdue notices, apply or remove billing holds, prevent fraud, provide support and meet legal obligations. It may be disclosed to the Operator, Stripe and other service providers where reasonably necessary.
Where applicable, privacy laws may provide rights to access, correct, delete, restrict or obtain personal information, object to certain processing, or make a complaint. Some billing, accounting, security and dispute records must be retained. Contact [email protected].
9. Availability, disclaimers and liability
In plain English: ChargeStack works to keep invoicing and payments reliable, but internet, charger, email and payment-provider systems can fail. Rights that cannot legally be excluded still apply.
To the maximum extent permitted by law, the monthly invoicing and payment features are provided on an “as is” and “as available” basis. ChargeStack does not guarantee uninterrupted availability, delivery of every notice, successful payment collection, continuous charger connectivity or immediate restoration after a billing hold.
Nothing in these terms excludes, restricts or modifies a consumer guarantee, right or remedy that cannot lawfully be excluded, including under the Australian Consumer Law. Subject to those rights, ChargeStack is not liable for indirect, incidental, special or consequential loss arising from monthly invoicing or an available payment method.
To the maximum extent permitted by law, ChargeStack's aggregate liability arising from monthly invoicing or an available payment method is limited to the greater of AUD $100 or the amount paid to ChargeStack for the feature during the 12 months before the event giving rise to the claim.
ChargeStack is not responsible for delay or failure caused by events beyond its reasonable control, including natural disasters, fire, flood, pandemic, industrial action, government action, telecommunications or cloud outages, payment-network failures, electricity interruption or charger-network failure.
10. Suspension and cancellation
In plain English: You can stop using automatic payment, but you still have to pay invoices and charging costs already incurred. ChargeStack may restrict access to manage non-payment, misuse or risk.
ChargeStack may suspend or terminate monthly invoice eligibility, automatic payment or associated charging access if an invoice is overdue; a payment method repeatedly fails or is withdrawn; information is false, incomplete or unauthorised; these terms are breached; continued access creates fraud, security, legal, payment or operational risk; or suspension is required by law, the Operator or a relied-on service provider.
Ending automatic payment or monthly invoice eligibility does not affect accrued payment obligations. Provisions concerning amounts due, billing records, privacy, liability, disputes and general legal matters survive termination where needed to give them effect.
11. Changes to these terms
In plain English: ChargeStack may update these terms when the service or law changes. Material changes will ordinarily be notified before they take effect.
For a material change, ChargeStack will provide at least 30 days' notice by email, through the service or by another reasonable method, unless a shorter period is reasonably required for legal, security, fraud-prevention or payment-network reasons. Continued use of RFID charging access, monthly invoicing or an offered payment method after the effective date constitutes acceptance to the extent permitted by law.
12. General and governing law
In plain English: These terms work with ChargeStack's main Conditions of Use, Privacy Policy, issued invoices and any separately agreed service agreement.
If a provision is unenforceable, it will be read down or severed without affecting the remainder. A failure to enforce a right is not a waiver. You may not assign your rights without ChargeStack's written consent. ChargeStack may assign these terms as part of a merger, acquisition, corporate reorganisation or transfer of the relevant business.
These terms are governed by the laws of Queensland, Australia, and the parties submit to the courts of Queensland and the Commonwealth of Australia. Before starting court proceedings, a party should give written notice and allow 30 days for good-faith attempts to resolve the dispute, except where urgent relief or debt recovery is reasonably required.
